Capacity
What is the capacity of the facility?

The venue can accommodate weddings up to 150 guests. The reception space is currently outfitted for seating for 115, the ceremony is outfitted for seating for 100, and Villa Bethesda sleeps 34 guests. Additional Bethesda Lake Resort lodging is available across the Bethesda properties for groups up to 150. For larger guest counts or special layouts, reach out to discuss options.

Booking & Availability
How do we check availability?

You can check availability through the website or call/text 479-216-7030. We are happy to walk you through available dates, package options, and tour scheduling.

How far in advance should we book?

Most couples book 9 to 18 months in advance, and peak-season weekends can fill quickly. If you have a specific date in mind, it is best to check availability as soon as possible. Some dates book more than a year in advance.

What is included with the wedding booking?

In most cases, your reservation includes private access to the estate, ceremony chapel, reception space, and surrounding grounds. Select packages also include Villa Bethesda and on-site lodging. All wedding bookings include access to Bethesda Lake Resort amenities, along with a discount code for guests reserving additional resort lodging. Exact inclusions vary by package.

Do you hold dates?

Dates are not held with a verbal commitment. Dates are reserved on a first-come, first-served basis and secured with a signed agreement and initial deposit. Proof of event liability insurance with all required insured parties listed must be provided within 7 days of booking.

How do I book my date?

To reserve your date, a signed agreement and initial deposit are required. Dates are secured on a first-come, first-served basis upon receipt of the deposit. Proof of event insurance must be provided within 7 days of booking, and a reservation is not considered fully secured until the agreement, deposit, and insurance requirements have been received.

Accommodations
Where do guests stay?

Depending on the package selected, your closest family and wedding party may stay on-site at Villa Bethesda, which accommodates up to 34 guests. Additional guests can stay at Bethesda Lake Resort, located about 2.5 miles, or approximately 5 minutes, from the estate in the same Bethesda Valley.

How many guests can stay on the property?

Villa Bethesda accommodates up to 34 guests on-site for your closest family and wedding party. With additional cabins and cottages at Bethesda Lake Resort, you can host groups of up to 150 guests while keeping everyone nearby.

Will our group be spread out?

The experience is intentionally designed to keep your group close. Your core group stays together at the estate, while additional guests are accommodated just 5 minutes away at Bethesda Lake Resort within the same Bethesda Valley.

Ceremony & Reception
Do you have a weather backup plan?

Yes. The reception space is fully enclosed and climate-controlled, allowing your celebration to continue comfortably regardless of weather.

How many guests can the reception accommodate?

The reception space is designed for wedding celebrations and is currently outfitted for seating for 115 guests. Depending on layout and event needs, the broader venue experience can accommodate up to 150 guests.

What is the ceremony setup like?

The estate features a dedicated timber frame chapel designed for an intimate and meaningful ceremony. For couples who prefer an outdoor setting, the property also offers lawn ceremony options on the grounds.

What can guests do during the weekend?

Guests can enjoy the estate grounds as well as nearby Bethesda Lake Resort, which offers complimentary fishing, kayaking, swimming, lake access, and outdoor gathering spaces.

Is the property private?

Yes. The estate and its surrounding 10 acres are reserved exclusively for your group during your reservation. Because Bethesda Lake Resort is privately owned, you may also have the option to reserve the full resort, including all lodging, for a fully private experience for groups up to 150.

Is Villa Bethesda a good fit for every wedding?

Villa Bethesda offers a range of wedding experiences, from intimate ceremonies and single-day celebrations to full private weekend events. The estate is especially known for immersive wedding weekends, but shorter options are available for couples who want a more streamlined celebration without sacrificing the setting.

Logistics
Where is the nearest town?

Mena, Arkansas is located about 4 miles from the estate, with easy access by fully paved roads.

Is parking easily accessible for guests?

Yes. Convenient on-site parking is available for guests attending your event.

Do we need transportation between the estate and Bethesda Lake Resort?

Transportation is only needed for guests staying at Bethesda Lake Resort, which is located about 2.5 miles, or approximately 5 minutes, from the estate. Guests staying on-site at Villa Bethesda do not require transportation. Many couples arrange shuttles for convenience, though personal vehicles are also a simple option due to the short distance.

Can we bring in our own vendors?

Yes. You are welcome to bring in your preferred vendors. Preferred vendors may be recommended because they know the property, access timing, lighting, guest flow, sound considerations, and cleanup expectations, but outside vendors are welcome.

When will we have access to the venue?

Access details are outlined in your agreement and package selection, including arrival and departure times for your stay and event. If you would like guaranteed earlier access than your package provides, reserving an additional day is recommended when available.

Are arrival and departure times firm?

Yes. Arrival and departure times are structured so each group receives a clean, ready experience. If you would like additional time, you can request added access or an extra day, subject to availability.

Tours, Rehearsals & Customization
Is there a tour process?

Yes. Tours are available by appointment and scheduled around existing reservations. Because the estate hosts events and lodging guests, tour dates are usually confirmed closer to the requested date. We recommend sending a few preferred tour dates so we can do our best to accommodate your schedule.

How do rehearsals work?

Rehearsals must take place within your package's included reservation timeframe unless additional access time is reserved in advance. Rehearsals outside your contracted window require additional reserved access, an associated fee, and availability. Couples wanting rehearsal time the evening prior often reserve an additional night.

Can we add an additional night?

When available, an additional night may be reserved for $1,975. It includes private access to the full estate and overnight lodging for up to 34 guests inside Villa Bethesda.

Can we bring our own decor or customize the space?

Yes. You are welcome to personalize the space to fit your vision. The goal is to provide a beautiful setting that can be tailored to your event while protecting the property and following event agreement guidelines.

Policies
Do you require event insurance?

Yes. Event liability insurance is required for all bookings to help protect you, your guests, and the property. If alcohol will be served, the policy must include liquor liability coverage. Required additional insured parties include Michael Myers and Jessica Myers, Bethesda Springs Properties, Bethesda Lake Resort & Cabins, and The Estate at Villa Bethesda. Proof of coverage must be provided before your event date.

Is alcohol allowed?

Yes. Alcohol is permitted as part of your event, subject to the event agreement, insurance requirements, responsible service, and applicable state and local laws. Alcohol sales are not permitted on premises. Service must end at the earlier of 11:00 PM or your package's designated end time.

Are there alcohol service rules?

Responsible alcohol service is required at all times. There may be no service to minors, no glass in pool or hot tub areas, no illegal activity, and no disorderly conduct. The venue may require licensed security at your expense, can assist in coordinating local off-duty officers if needed, and reserves the right to limit or discontinue alcohol service or end the event if necessary for safety or compliance.

Are there restrictions on music or sound?

Music and entertainment are welcome as part of your reception. To maintain the property experience and surrounding environment, music should be kept at a reasonable volume and must end at the earlier of 11:00 PM or your package's designated end time. Specific sound and timing guidelines will be outlined in your agreement.

Who is responsible for setup and cleanup?

Event setup is the responsibility of you and your vendors. The venue provides and sets up ceremony chairs and reception tables, chairs, and linens as outlined in your package. At the end of your event, personal items, decor, and vendor materials must be removed within your contracted time. A dumpster is available on-site, and guests are expected to leave the property in the same general condition as received.

Is there a cleaning and damage deposit?

Yes. A refundable $1,500 cleaning and damage deposit is required with your reservation. It is returned after your event if the property is left in good condition and no damage occurs. Excessive cleaning, damage, or failure to follow cleanup guidelines may result in deductions.

Planning Support
Do you provide wedding planning or coordinating services?

Villa Bethesda does not provide wedding planning or day-of coordination services. We provide a high-end, fully equipped venue and can answer property questions, coordinate with vendors as needed, and meet vendors at pre-arranged times to support planning and setup. We also provide a list of outside vendors who can assist with planning and coordination.

Payments
What forms of payment do you accept?

Accepted payment methods include debit cards, credit cards, checks, and cash. A 3.25% processing fee applies to card payments. Additional digital payment options can be confirmed during booking.

When are payments due?

An initial deposit is required to secure your date along with a signed agreement. The remaining balance is divided into scheduled payments leading up to your event. In many cases, payments include an initial deposit, a second payment approximately halfway between booking and the event date, and a final balance due before the event. Exact timing may vary by booking date and package and will be outlined in your agreement.

Is a deposit required?

Yes. A 50% non-refundable deposit is required to reserve your date and is applied toward your total booking.

When is the final balance due?

The final balance is due 120 days prior to your event date, as outlined in your agreement.

Do you provide financing?

Yes. Financing options may be available for couples who prefer to spread payments out over time. Financing is optional, approved credit is required, and it can be used in combination with your standard payment schedule when available.

Cancellations & Rescheduling
What is your cancellation policy?

All cancellations must be submitted in writing. Due to the nature of reserving dates and turning away other bookings, payments are non-refundable according to the schedule in your agreement. Current planning language is: 180+ days before event, initial deposit is non-refundable; 120-179 days, 75% of total booking price is non-refundable; 60-119 days, 85% is non-refundable; less than 60 days, 100% is non-refundable.

Can we reschedule?

Rescheduling may be permitted one time only when requested in writing at least 120 days before your event date. New dates are subject to availability and must occur within 12 months of the original date. A rescheduling fee of $1,800 applies, payments made transfer to the new date except the rescheduling fee, and current published pricing applies to the rescheduled date. Rescheduling is not guaranteed and is offered as a courtesy when availability allows.
